Virtuous CRM+ makes it easy to organize and track your funding through Projects. And if Project goals, timelines, names, or descriptions change down the road, you’re able to edit Projects to keep your team aligned and your donors informed. In this article, we'll walk through the process of editing existing Projects in Virtuous CRM+, including some recommendations for managing Recurring Gifts tied to Projects to help ensure your Donor updates are accurate and aligned with your organization's goals.
Editing a Single Project
To edit a single Project, use the Quick Search bar to search for the specific Project. Then select the edit icon.
Or, alternatively select the Gifts tab from the left-hand menu, then Projects. Here, find the Project you wish to edit, select the 3 dots to the right and then Edit.
You can modify various fields on existing Projects, including:
- Project Name and Code
- External Accounting Code
- Online Display Name
- Description
- Project Designation Type
- Inventory Status
- Project Location
- Duration Type (Ongoing or Fixed Duration)
- Financial Need Type and Amount
- Configuration Settings
- Project Custom Fields
- Gift Specifications
- Project Owners
- Associated Projects
- Optional Conversion to Sub-Project
Editing Projects in Bulk
If you need to update multiple Projects at once, you can use Bulk Actions available from a Project Query. To get started:
- Navigate to the Query Tool, create a new Project Query, and define your criteria.
- Run the Query to get a list of Projects. Select all Projects or specific relevant Projects using the checkboxes on the left side of the screen.
- Select the Actions button in the top right, then select Edit Projects.

Editing Projects with Virtuous Giving
If a Project is linked to a Recurring Gift schedule in Virtuous Giving, there are some considerations to note before you edit the Project. If the Project Name or Project Code is updated in the CRM, the change will not be synced to Virtuous Giving forms or existing Gift schedules. This means the Gift and Contact Import Tool will flag incoming Recurring Gift payments under the Update Needed tab as it cannot locate a Project match.
In most instances, we do not recommend changing Project Names and Project Codes with attached Recurring Gifts as this will create issues with new and future Imports. If a Project edit is needed, we recommend updating the Online Display Name which will not affect the process of Importing future Recurring Gift payments.
If an existing Project Name or Project Code must be edited and the Project has online Recurring Gifts attached, users will need to update both the Virtuous Giving Form that contains the Project and the Contact’s Recurring Gift linked to the Project. If the Form or the Gift schedule are not updated, future payments will be flagged in the Import Tool under Update Needed. Learn more about the Update Needed status here.
To Update the Giving Form
- Navigate to the Marketing Tab and then select Forms. Identify the Giving Form that includes the old Project. On the right-side, select the 3 dots icon to Edit the Form.
- In the Builder, edit the Project Designation field by selecting the Edit icon. On the right-side, find the old Project, and click the X icon to remove it.
- Save and Publish your Form.
- Then, re-add the modified Project back into the Project Designation field.
- Save and Publish your Form.
This process will update your Giving Form with the newly modified Project. If your Form is currently live, you do not need to re-embed the Form.
