Sometimes our donors will donate something other than money. This happens often and some organizations refer to this as an "In-Kind" gift. In Virtuous, this is referred to as a "Non-Cash" gift.
Customizing and Managing Non-Cash Gift Types
Before you enter a Non-Cash Gift, you may need to customize the Non-Cash Gift Types to better reflect and organize the specifics of your Organization. To customize and manage Non-Cash Gift Types, navigate to Settings > Data Customization and select "Non-Cash Gift Types". Here, you can create new Non-Cash Gift Types to match your needs, edit existing Non-Cash Gift Types, or delete existing Non-Cash Gift Types. These custom Non-Cash Gift Types will be available to Filter, Query, and select in the Gift and Contact Import tool.
When customizing your Non-Cash Gift Types it is NOT RECOMMENDED to delete or modify the "Other" Non-Cash Gift Type. When Receipting Non-Cash Gifts, a description is required. "Other" is intended to act as a catch-all to give you a field for the Description.
Changing a Non-Cash Gift Type Name will cause any existing queries with the specified type as a value to run incorrectly. It's necessary to MANUALLY update the affected query conditions. Gifts will be updated automatically.
In the Gift and Contact Import Tool
Entering a Non-Cash gift has a few different fields in comparison to a financial gift. You can enter a Non-Cash gift manually in the Gift and Contact Import Tool. When you change the Gift Type to "Non-Cash" the additional fields will appear down below. You'll notice the fields for "Date of Sale", "Original Amount", and "Amount From Sale of Gift" will only become available after you have checked the box "Sold For Cash". Once all data is entered in the appropriate fields, click "Save and Continue". You can now move forward with the Gift Import Process as usual.
Gift Type: What type of non-cash gift is this? You must select from the options displayed. If the exact item you are logging in is not a listed option, select "Other".
Description: A brief description beyond the "Gift Type" designations.
Item Sold For Cash: If the item has been sold for cash, checking this box will indicate it as such.
Date of Sale: Date the Non-Cash gift was sold
Original Amount: The original Gift Amount (typically the original value of the Non-Cash gift)
Amount From Sale of Gift: The amount the Non-Cash gift was sold for.
Using a CSV File
If you have a spreadsheet of Non-Cash Gifts, you can import that data as a CSV file via the Gift and Contact Import Tool. When formatting your import file the six Non-Cash fields will be needed to successfully import your data. Formatting tips are listed below.
Gift Type: What type of non-cash gift is this? The valid entry options include "ATV", "Boat", "Business Interest", "Car", "Electronics", "Gift Card", "Jewelry", "Motorcycle", "Other", "Real Estate", "RV".
Description: A brief description beyond the "Gift Type" designations.
Item Sold For Cash: Enter "TRUE" to reflect yes or "FALSE" to reflect no.
Date of Sale: Date the Non-Cash gift was sold
Original Amount: The original Gift Amount (typically the original value of the Non-Cash gift)
Amount From Sale of Gift: The amount the Non-Cash gift was sold for.
Once your file is formatted and ready for import, you'll hop into the Gift and Contact Import Tool and start a new import. The Import Type will be "Gift Import". Make sure the bubble for "Upload CSV File" is selected and then click "Select a CSV File" to browse your computer and attach the appropriate file. From here, you'll see all the data populate into their respective fields in the Gift and Contact Import Tool. You can now continue with the Gift Import Process as usual.
On A Contact Record
You can enter a Non-Cash Gift directly into a Contact Record. On the Giving tab of the Donor's Contact Record, click the three dots to the right of "Peer to Peer/Influenced". Select "Add Gift". A blank Gift Record form will open. Click the "Gift Type" drop-down and select "Non-Cash". As a note, this is NOT the recommended best practice to enter Gifts into Virtuous. This approach should be reserved for special situations and typically executed by Admin users. All Gifts should be entered via the Gift and Contact Import Tool.
