Managing Memberships in Virtuous should be streamlined and Responsive! Depending on the types of Memberships you offer, there are different variables to keep track of. This article will provide guidance on reviewing the status of Memberships, how to manage them, and an Automation Workflow example to demonstrate a dynamic manner of management.
Contact Membership Query
When reviewing the details and status of the various Memberships in your database, the Contact Membership Query will be your first stop. This particular query will allow you to zero in on different attributes associated with Memberships. In the example below, the criteria is set to find all expiring Memberships associated with the "Saguaro Member" option and will be expiring within the next 90 days.
From the results page, you have the ability to export a CSV with Membership specific fields.
Managing Expiring Memberships
Depending on your organization's exact needs, you may be communicating with expiring members in person, via phone calls, or via marketing emails. While the Contact Membership Query type is incredibly helpful to find Memberships and their associated details, if you want a list of the Contacts or Individuals associated with the respective Memberships, you'll need to create a Nested Query.
To learn more about Nested Queries, check out this Support Article covering the topic.
In the example below, the Contact Membership Query titled "Expiring Memberships" has been nested into a Contact query. This will result in a list of all the Contacts associated with the Memberships identified in the Contact Membership Query.
From the results page, your export values will now be Contact level information for communication purposes rather than Membership level information.
Automation Best Practice Example
Using an Automation Workflow to deliver updates to Virtuous users and Membership owners can streamline the process. In the example below, Contacts with a Membership expiring in the next 90 days are fed through a series of Marketing Communications alongside internal Tasks being assigned to Virtuous Users to follow-up.
