When working in Virtuous, you'll come across the term "archive" in a number of different places. In the Gift and Contact Import Tool, sometimes you end up with an Import that you don't want/need to import for any number of reasons. This article will cover what it means to "Archive" an Import.
For manual entry or CSV Imports, users with the appropriate User Permissions can Archive or, if necessary, delete any unwanted Import. Achieving will remove the Import from the Gift and Contact Import Tool screen and help reduce clutter. Archiving can, however, be undone if it was done in mistake. Alternatively, deleting an Import will permanently remove the Import and any associated Gifts and Contacts from the Import Tool altogether. It cannot be undone or recovered once deleted.
Any Imports created via any API integration can be Archived as well, but, as a precaution, these cannot be deleted. This is a protection to prevent any data loss as users may not have other ways to determine what data is included in an automatically generated import.
For Imports needing to be Archived, users will first need Admin permissions. Then, find the Archive icon to the right of any Import and select.
Once selected, the Import will be removed from the Import History screen. To view the list of Archived Imports and Un-Archive an Import, if necessary, Admin users can select the “Actions” button and then"Archived Imports" in the upper right to view a list of Archived Imports.
On the Archive screen, click on the Archive icon to the right of any Import to Un-Archive it. This will move the specific Import back to the main screen of the Gift and Contact Import Tool, allowing the Import to be processed as usual.
