Occasionally, donors choose to give via a third party, like a family foundation or a donor-advised fund (DAF). In these cases, the name listed on the received check is treated as the donor name and will receive the receipt. But the Contact who directed, advised, or initiated the Gift would be the Passthrough Giver, and they receive soft credit for the Gift. Use the instructions below to learn how to enter Passthroughs depending on whether the Gift involves one Passthrough Giver or multiple.
Entering a Single Passthrough Giver on a Gift
When a Gift has just one single Passthrough Giver to credit, start by entering the Gift in the Gift and Contact Import Tool. Click on the Show all Gift Information option, near the bottom of the screen. The fields in this section are less commonly used in Gift processing, so they are hidden by default to make it easier and faster to tab through Gift fields when doing manual data entry.
Select the Passthrough Giver field, and type in a name or Contact ID to search for an existing Contact and set them as the Passthrough Giver. Note that the Contact must already exist in Virtuous CRM+.
When using the Import Tool, each Gift can have only one Passthrough Giver. In cases where you receive a single check combining Passthrough Gifts from multiple donors, as may the case for employee giving programs, use the guidance in the section below.
When importing Gift data via a CSV import, you must specify the Contact ID of the Passthrough Giver in the appropriate column on the Gift Import Template. Do not enter a name, as this will cause your import to fail.
Once Passthrough Gifts have been added for a Contact, you can view them from the Giving tab of that Contact’s record. Users may also opt to see Passthrough Giving data in the Contact widgets, either by including Passthrough Giving in the Giving Overview widget or by adding the Passthrough Giving Overview widget.
Entering Multiple Passthrough Givers on a Gift
To credit more than one Passthrough Giver on a Gift, you can add additional Contacts on the Gift from the Gift record after it’s been imported. To do so, navigate to the specific Gift record and select the three dots to the right. Then, select Edit.
Scroll down to the Passthrough Giving section of the Gift record. Enter the name of the supporter under Passthrough Giver to search for the first Contact record.
Then, select the blue hyperlink labeled +Add Another Passthrough Contact to open an additional record below. Add up to 100 Passthrough Givers on a single Gift.
Then, choose to manually enter the Split Amounts for the total Gift, Split Credit Evenly using the toggle at the top, or Share Full Credit using the 3 dots icon.
Split Credit Evenly will automatically divide the total Gift amount between the number of Passthrough Givers. This means a Gift of $10,000 will credit two Passthrough Givers with $5,000 each.
Share Full Credit will automatically apply the total Gift amount to every Passthrough Giver. This means a Gift of $10,000 will credit all Passthrough Givers with the entire $10,000.
Note: Sharing Full Credit across multiple Passthrough Givers may cause double-counting or inaccuracies in your reporting. Because donor-based reporting can include Passthrough Giving, if a Gift has Shared Full Credit across multiple Passthrough Givers, a single Gift will be counted once for every Passthrough Giver on the Gift.
If you choose to manually enter the Split Amounts or Split Credit Evenly, a flag for the Remainder to Assign will display the amount left to apply to each Passthrough Giver.
Once the Gift is saved, all Passthrough Givers will be listed with the amount credited and how the credit is split.
Reporting on Passthrough Givers can be done using the Gift Passthrough Query Type where you can filter for specific Gift and/or Passthrough donor criteria. The results list the Passthrough Givers, their credited amount, the original Gift amount, and more.
