Managing Tasks in bulk is a great way to make quick work of a large action item. This article will outline the bulk actions possible and best practices to efficiently manage a large selection of Tasks.
Table of Contents
Task Dashboard Overview
To begin, navigate to the main Task Dashboard using the checkmark icon available in the top right corner of most pages in Virtuous.
By default, your Tasks will be displayed. To access a list of all Tasks assigned across your team, select the "All" tab available in the top navigation bar.
On this tab, Tasks assigned across all your team members will be displayed.
Bulk Reassign
The first bulk action you can take is Bulk Reassigning a selection of Tasks from the currently assigned user to a different user.
Note: a User must exist before a Task can be reassigned to them.
First, locate the specific selection of Tasks to be reassigned. Using the Filter available on the left side of the screen, you can add different specifications to filter down to the appropriate Tasks.
Next, select the checkbox at the top of the column to mark all the Tasks displayed at once. To include the full selection of Tasks in your selection, be sure to select the blue link title "Select all X items in Results".
With all the appropriate Tasks checked, select the Actions dropdown available in the top right corner of the screen. Select "Reassign Tasks" from the available options.
Before you can select the User to be assigned, you must confirm that you are about to execute a bulk action. Check box to agree. Using the dropdown menu, select the appropriate User to reassign the Tasks to.
NOTE: It is not possible to undo a Bulk Action. Please be sure you have double checked your work before completing your Bulk Action.
To complete this action, select "Confirm". The update will then be processed.
Automation Workflow Task Reassignment
While the previous process outlined enables you to reassign Tasks that already exist, it's recommended to review the various Automation Workflow details associated with Tasks being reassigned. Without updating the assigned User within the respective Workflow details, new Tasks generated via the Workflow will not have the updated User listed.
Deactivating a User - Bulk Reassigning
If a member of your team is leaving, you can bulk reassign any outstanding items when deactivating their User Profile.
Note: An Admin User is the only type of User that can execute this process.
Navigate to Settings > Team Settings.
Select the edit icon to the left of the specific User to be deactivated.
In the pop-out window, select "Deactivate User".
On the next page, mark the checkbox "I understand and want to proceed" to confirm the Bulk Task Reassignment you are about to execute. Then, select the appropriate Team Member in the "Assignment Redesignation" drop-down menu. After reviewing your work, select "Deactivate" to complete the process.
Bulk Dismiss
If you need to dismiss a selection of Tasks in bulk rather than reassign them, this can also be completed here on the Task Dashboard.
Filter and select the appropriate selection of Tasks following the steps outlined above. Select the Actions dropdown and select "Dismiss Tasks."
In the pop-out window, confirm that you wish to execute the bulk action. Select "Confirm" to complete the action.
NOTE: It is not possible to undo a Bulk Action. Please be sure you have double checked your work before completing your Bulk Action.
