How Do I Create an Automated Task? – Virtuous

Imagine a world where Virtuous recognizes specific donor milestones and automatically creates a task for someone on your team to connect with the donor! Well, buckle up, because you can now spend your imagining time on something else (like what you would name the dog you met on the subway this morning).

An automated task can be created on the tasks page and set for a specific milestone trigger. For example, you can set a task to be created for you when a contact record that you follow has a birthday in 7 days OR when a donor has exceeded $25,000 for the year you can set a task to be created for a team member to reach out and celebrate that milestone with the donor.

To create an automated task, first, navigate to the Tasks Screen.

Once there, click New Task and change the Type to Automated Task (you'll notice that the available fields change slightly).

Type: Choosing Automated Task here will show you the following fields necessary for an automated task.

Task (required): This is an open text box for the name of the task. Remember to be descriptive ("Call and celebrate donor's birthday" is much more helpful than "Call").

Milestone: Depending on the milestone you've selected additional fields may appear. An outline of available milestones is below.

Owner: This dropdown is where you'll identify which Virtuous User will receive these tasks as they are created.

Create for Followed Contacts Only: Checking this box will create tasks only for the contacts that the defined user has followed.

Description: This is an open text box for any and all details related to the task.

Milestone Types

First-Time Gift: At the time of the first gift a task is created.

Single Gift Threshold Exceeded: Anytime a gift is received that exceeds the amount provided.

Exceeds (required): Set a gift amount here.

Lifetime Giving Threshold Exceeded: When a donor's lifetime giving exceeds the amount provided.

Exceeds (required): Set a gift amount here.

Year-To-Date Giving Threshold Exceeded: When a donor's year-to-date giving exceeds the amount provided.

Exceeds (required): Set a gift amount here.

Upcoming Anniversary: When a contact record has an anniversary within the next 7 days.

Upcoming Birthday: When a contact record has an anniversary within the next 7 days.

New Recurring Gift: At the time a recurring gift is created.

Once a recurring task is created it will show in the Automated and Recurring Task box on the Tasks screen.

When the criteria for that automated task is hit, a new task will be created for the appropriate user and shown on the My Tasks tab with the specific contact record information specified.

For example:

If an existing automated task is edited, all tasks that had previously been created will NOT be edited, and new tasks created will reflect the new information.
