When deciding what permissions the users in your database should have, it's important to know what permissions an admin in the database has. The admin permission group can not have the permissions modified as we don't want anyone to accidentally lock themselves out of portions of their database. We generally recommend that admins are limited to 2-3 people per organization. Any more than that and your data is potentially in danger of getting pretty messy. Admin Only Permissions:
On the Permissions Page- Admin users will have access and be able to do all things that all the other users can have turned on for them. This includes the ability to delete, *data health, and bulk edit.
*Any admin that is in an organization group will not be able to use data health. In order to use the data health tool, you will need to remove yourself from the organization group, run data health, then add yourself back*
Design Settings- Only Admin have access to the design settings which control the design of your forms.
Data Customization- Admin have access to customize the data in your database. This includes:
- Custom Communication types
- Contact Name (and informal name) settings
- Custom Contact Note Types
- Custom Contact Types
- Custom Fields and Collections
- Custom Event Types
- Custom Genders
- Custom Marital Status
- Custom Non- Cash Gift Types
- Custom Project Roles
- Custom Project Settings
- Custom Recurring Gift Cancellation Categories
- Custom relationship Types
- Custom Task Types
Data Management- Admin have the ability to
- View and bundle gift transactions (This is to view and bundle before Virtuous does this automatically at midnight).
- Create and Edit Media Outlets
- View and bundle Contact Updates (This is to view and bundle before Virtuous does this automatically at midnight).
- Create and Manage Personalized Email Templates
- Create and Manage Tags (users who have the ability to edit contacts will have the ability to add a tag to that record but they cannot add a tag that has not been created by an admin)
Connectivity- Admin are responsible for connecting any integrations with Virtuous. This is to ensure that your database is carefully managed.
Organization Settings- Admin can change the database settings for the entire organization. Find out more about the organizaton settings in this article.
Team Settings- Admin users are the only users that can add team members to the database as well as decide what permissions user have and what organization groups they are in.
Online Giving- Admin users can access the online giving settings to customize the giving experience for donors.
